Preparation for 2008 Annual Meeting Book

How to List records in the Excel file
With so many columns, the Excel file containing your records is very wide making it difficult to view. You could use Excel to print the records but a row of record data would either span multiple pages, or the font would be microscopic. After some head scratching, I discovered Microsoft Word's mail merge feature allows you to create a decent printout of the records in the Excel file.
I put together a folder containing two Excel files (Men's T/F and Women's T/F), the Word merge document, sample printout, and a detailed set of instructions on how to set up an run the mail merge. You may download the records-list.zip folder (620 Kbytes) and view the instructions here. (You may need to use the free Adobe Acrobat 7 to view the instructions.)
Since I'm new to mail merge the report may be a bit rough. It does, however, list all the information from the Excel file. Click here to view a sample. Let me know of any problems and suggestions. -- Justin

- Discussion List - A discussion list was created to allow an open discussion of items related to USATF national records. To post a message to all the list members, send email to Records@usatfne.org. You may view the archives from that list, subscribe or edit your email address by clicking here.
- Record formatting - Currently, record keepers maintain their records in Excel spreadsheets. From time to time, record keepers send those Excel files to Justin Kuo. He will extract the data from the spreadsheet, add them to the main records database, export a tab-delimited file containing all the records and upload that file to the USATF web servers. Click here for the database field specifications.
- Country Codes - The records committee use the two character ISO 3166 standard for the country (location) codes and three character IAAF code for affiliations. Click here for a complete list of those codes.
- State Codes - These are the common 2-letter codes used as postal abbreviations by the United States Postal Service. Click here for the official list of state codes. (Note: PR is the state code as well as the ISO 3166 country code for Puerto Rico. In that case, the ISO 3166 takes precedence. Enter PR as a country code and leave the state code blank.)
- StateRecordKeepers.com - David Fox's site is the "preferred home of USA state road running records. Records for each state are managed by a specific person."

- Often, an american athlete's club affiliation or hometown is not listed in the results. If the event is recent, you can look up the club affiliation by using the Membership Verification for Event Directors web page. You can enter the athlete's name and find the current USATF Membership Number, Name, Suffix, City, State, Sex, Age, DOB Verified, Citizenship, Youth Age Group, Assocation Number, Association Name, Club Number, Club Name, Sponsor, and Date of Application. - The Excel file that we use to enter records is rather terse and not very user-friendly. Marks may be are entered for as a time (12:13.9), or a distance in an hour event (123456) or as points in a multi-event (1234). You can add a simple cell formula to display the marks as 12:13.9, or 123,456 m, or 1,234 pts. Click here for an example in Excel.
- 2007-01-10: "Someone has created a new wiki-based web site where people can record veterans' records in the various track and field events, including the 5000 walk. It's at agerecords.wikispaces.com. If you're over 35, you can have your 15 minutes of fame by posting your own PB as a world record -- until someone comes along to post something better.
